Description | Primary Purpose:
Assist with preparation and oversight of organizational initiatives, multiple grant proposals, grant applications, and awards for the district. Assist district personnel with various aspects of Federal/State/District grant programs.
Minimum Qualifications:
Education/Certification:
Bachelor’s degree from accredited university
Candidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50) paid by employee.
Knowledge/Skills:
Knowledge of trends, processes, and ethics in grant writing
Ability to communicate succinctly and persuasively in written and verbal form
Knowledge of educational issues and instructional programs
Ability to develop narratives, graphics, tables, and spreadsheets
Able to manage budgets and accounts for all grant activity
Strong organizational, communication, presentation and interpersonal skills
Ability to multi-task and to meet established deadlines

Organization Management
The grant specialist manages administrative and fiscal functions responsibly through activities such as the following:
- Seek, develop and write grant proposals to grant-making organizations, persuasively communicating the organization’s mission and programs to potential funders.
- Assist campuses/departments and employee personnel with guidance and support with grant applications.
- Fulfill district research requests related to grant applications.
- Monitor all phases of grant award and closing including assessment of technical progress and performance.
- Apply analytical and evaluative techniques to the identification and resolution of grant administration issues.
- Provide guidance on contracts, cost-share agreements, and Memorandums of Understanding (MOU).
- Prepare grant amendments as needed.
- Assist campuses/departments in the development and operations of their project budgets in full consideration of district policies, procedures, and compliance with grant expenditures and purchases.
- Assist with oversight of Campus Improvement Plans and Campus Needs Assessments as correlated to Federal/State/District grant programs.
- Assist with all grant related research requests to the district.
- Prioritize tasks and meet all deadlines for preparation and submission of grant applications and grant related reports.
- Obtain information, data and application forms necessary to fulfill grant requirements.
- Assist with the evaluation and monitoring of all grant-funded programs.
- Assist with monitoring grant funded expenditures to ensure compliance with regulations and guidelines.
- Prepare necessary reports, such as, compliance reports, financial information, purchases and expenditures, record keeping, and other data as required by grant applications.
Organization Improvement
The grant specialist promotes leadership in efforts to improve the school or organization through activities such as the following:
- Assist with management of Federal/State/District grant program development, implementation, and evaluation.
- Assist with the review of guidelines for grant eligibility requirements, assess school and community needs to meet grant application requirements, and disseminate all related information.
Communication and Community Relations
The grant specialist promotes a positive tone for school or community relations through activities such as the following:
- Work collaboratively with multiple stakeholders within and outside of the district.
- Serve as district resource person to administrators and employee on Federal/State/District grant programs.
- Provide weekly updates to the Executive Director of Human Resources and Federal Programs.
- Assist with communicateing program goals and objectives for Federal/State/District grant programs.
- Promote collegiality, teamwork, and collaborative decision making among staff.
- Project/foster a positive image to the community.
Professional Growth and Development
The grant specialist provides leadership in professional growth and development through activities such as the following:
- Assist with staff development or updates for district personnel as needed.
- Assist with systems design for ongoing improvement within the Federal/State/District grants program.
- Stay current in all areas of Federal/State and local grant management.
- Assist in training campus administrators related to the use of Federal/State/District grant funding.
- Pursue/participate in professional development activities in the area of grant management.
- Read, synthesize, and disseminate research and information related to best practices from books, journals, listservs, Websites, and other media formats.

Supervisory Responsibilities
Equipment
Computer, computer software programs and peripherals, printer, scanner, calculator, copier, fax, and other equipment applicable to the position.
Working Conditions
Mental Demands/Physical Demands/Environmental Factors:
- Work irregular and extended work hours to include weekends, as needed.
- Work with frequent interruptions and maintain emotional control under stress.
- Occasional statewide travel.
- Continual standing, walking, lifting, carrying, stooping, bending, and kneeling.
- Limited exposure to hot and cold temperatures.
- Frequent exposure to: temperature extremes (hot and cold), humidity extremes, noise, low or intense illumination vibration. Occasional exposure to: biological hazards (communicable diseases, bacteria, insects, mold, fungi, etc.), work outside, work around moving objects or vehicles, work on uneven surfaces.
