Primary Purpose:

Maintains current and accurate attendance records for the campus.  Under direct supervision, performs data entry including attendance, Public Education Information Management System (PEIMS) data, and grades.

 

Minimum Qualifications:

   Education/Certification 

   High School diploma or GED (Recognized by the Texas Education Agency or Regional Accrediting Agency)

   Candidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50) paid           

   by employee.

 

Knowledge/Skills:

Ability to use personal computer and software to develop spreadsheets and databases, and do word processing

Proficient typing, keyboarding, file maintenance, and 10-key skills

Ability to communicate verbally and in writing

Ability to meet established deadlines

 

Experience:

Two (2) years’ data entry experience

Data Management

The office assistant assists with fostering analytical and collaborative environment activities such as the following: 

  • Collects and enters attendance and PEIMS data into established database and verify accuracy according to established procedures.
  • Prepares and prints reports, including attendance reports, grades, class or personnel rosters, end-of-semester reports, or accounting reports.
  • Maintains physical and computerized records, including student cumulative folders, progress and failure reports, class roster, and schedule changes if applicable.
  • Processes new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases.
  • Processes and transmits requests for student information and transcripts.

Organization Management

The office assistant manages administrative, fiscal, and facilities functions responsibly through activities such as the following:

 

  • Reports all attendance problems to designated administrator.
  • Assists campus registrar as needed.

Communication and Community Relations

The office assistant promotes a positive tone for school or community relations through activities such as the following:

  • Interacts with public in a warm and professional manner, greeting and registering new clients and helping parent with withdraws.
  • Assists parents, students, and faculty with questions regarding student attendance.
  • Calls parent to verify student absences as needed.

Professional Growth and Development

The office assistant provides leadership in professional growth and development through activities such as the following:

  • Keeps informed of and comply with state and district policies and regulations concerning primary job function through training as needed.

  • Daily attendance and punctuality at work are essential functions of the job.

  • Corrects unsafe conditions in work area and report any conditions that are not correctable to supervisor immediately.
  • Complies with District and Campus policies and procedures, as well as state and federal laws and regulations.
  • Complies with the standards of conduct set out in Board Policy DH (Legal) and (Local) and with any other policies, regulations, and guidelines that impose duties, requirements, or standards.

 

Supervisory Responsibilities:

  • None

 

Equipment:

Multi-line phone system, computer, printer, copier, calculator, telephone, fax machine, shredder, and other equipment applicable to the position.

 

Working Conditions:

  • Works irregular and extended work hours to include holidays and weekends.
  • Works with frequent interruptions and maintain emotional control under stress.
  • Continual sitting.
  • Requires repetitive hand motions.
  • May require moderate standing, stooping, bending, and lifting.
  • Frequent exposure to: temperature extremes (hot and cold), humidity extremes, noise, low or intense illumination vibration.
  • Occasional exposure to: biological hazards (communicable diseases, bacteria, etc.), work outside, work around moving objects or vehicles, work on uneven surfaces.
