Description

Primary Purpose:

Plans, coordinates, communicates, and executes both large and smaller events related to Del Valle High School such as community and/or parent events, homecoming, academic ceremonies and event, prom, graduation, etc.  Facilitates coordination of events with various stakeholders including teachers, staff, and administration.  Ensures successful planning and execution of all events that result in strong participation and attendance.  Communicate with appropriate campus and district staff on events.  Trains booster clubs on policies and procedures.  Provides leadership training for student groups and student leaders.  Manages and maintains campus activity calendars and serve as the campus contact for facility usage.

 

Minimum Qualifications:

Education/Certification:

Bachelor’s Degree

Able to plan and execute large production as well as multiple, complex activities

Manage a budget and work within time and money constraints

Understand and maintain multiple calendars and schedules

Understand teenagers and work easily with students on leadership skills

Ability to recruit support for programs and events

Candidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50) paid by employee.

 

Required Experience:

 One (1) year of event planning, preferably in an academic setting

 

Knowledge/Skills:

Ability to multi-task

Ability to lead multiple groups and persons before, during and after events, including trouble-shooting during event

Ability to problem solve quickly to ensure event success

Knowledge of auditorium/theatre stage/lighting set-up helpful

Organization Management

The activities coordinator manages administrative, fiscal, and facilities functions responsibly through activities such as the following: 

  • Manages the campus master calendar.
  • Plans and executes major high school events, including but not limited to, Homecoming Celebration, Academic Awards, Large Community Events (Meet the Teacher, Open House, Monthly Community/Parent events), Senior Project Day, Prom, and Graduation.
  • Schedules club/booster/student interest/activity/meetings.
  • Coordinates climate control for events/activities.
  • Monitors bylaws on student organizations.
  • Maintains comprehensive collection of each club/groups’ formal and informal operating procedures.
  • Coordinates with appropriate faculty, staff, and district leaders, as needed.

 Organization Improvement

The activities coordinator promotes efforts to improve the school or organization through activities such as the following: 

  • Coordinates to avoid conflicts regarding date/activity/facility use.
  • Develops, implements, and evaluates all aspects for events from planning meetings to execution and post event meetings for feedback.
  • Solicits Club and Activity sponsors from among the staff. 

Communication and Community Relations

The activities coordinator promotes a positive tone for school or community relations through activities such as the following: 

  • Acts as a point of contact for students wanting to propose special events or new interest groups.
  • Responds to sponsor/student/administrator requests to hold special events.
  • Communicates using various methods for all major events with faculty, staff, students, district leaders, parents, and community members.

Professional Growth and Development

The activities coordinator provides leadership in professional growth and development through activities such as the following:

  • Trains staff of district policies and procedures regarding student clubs and facilities on the high school campus.
  • Provides leadership training for student class officers/student council members.
  • Provides training for booster clubs and parent sponsors regarding campus and district procedures and policies.
  • Attends meetings and participate in staff development activities to improve job-related skills. 

Qualities of Effective Activities Coordinators

The activities coordinator exhibits qualities such as the following: 

  • Daily attendance and punctuality at work are essential functions of the job.
  • Complies with District policies, as well as state and federal laws and regulations.
  • Complies with the standards of conduct set out in Board Policy DH (Legal) and (Local) and with any other policies, regulations, and guidelines that impose duties, requirements, and standards.
  • Compiles, maintains, and files reports, records, and other documents required.
  • Attends and participates in faculty meetings and serve on staff committees as required.
  • Corrects unsafe conditions in work area that could cause an accident and inform supervisor of any conditions that are not correctable immediately. 

Supervisory Responsibilities:

  • None 

Equipment:

Computer, computer software programs and peripherals, printer, scanner, copier, fax and other equipment applicable to the position.

 

Working Conditions:

Mental Demands/Physical Demands/Environmental Factors: 

  • Maintains emotional control/composure during stressful situations.
  • Works with frequent interruptions.
  • Works irregular hours and extended work hours (depending on the event) to include holidays and weekends.
  • Frequent walking, standing, stooping, bending, pulling and pushing.
  • Must be able to lift and move props, stage equipment, and decorations for special events.
  • Lifting more than 45 pounds infrequently with assistance; Pushing/Pulling 15-44 pounds sporadically.
  • Occasional district wide and statewide travel.
  • Frequent exposure to: temperature extremes (hot and cold), humidity, extreme noise, low or intense illumination or vibration.
  • Occasional exposure to: biological hazards (communicable diseases, bacterial, insects, mold, fungi, etc.).
  • Works outside, work around moving objects, or vehicles, work on uneven surfaces.
