Description

Primary Purpose:

Under direct supervision provide reception and clerical assistance for the effective operation of the campus office.

 

Minimum Qualifications:

Education/Certification               

High school diploma or GED (recognized by the Texas Education Agency or Regional Accrediting Agency)

Candidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50) paid by employee.

               

Knowledge/Skills:

Proficient keyboarding skills

Effective organization, communication, and interpersonal skills

Ability to follow verbal and written instructions

Ability to operate multi-line phone system

 

Experience:

One-year clerical experience in office setting

  • Greet and direct campus visitors. 

Communication and Community Relations

The office assistant promotes a positive tone for school or community relations through activities such as the following: 

  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  • Assist parents in checking students in and out of school. 

Organization Management

The office assistant manages administrative, fiscal, and facilities functions responsibly through activities such as the following: 

  • Receive, sort, and distribute mail, messages, documents, and other deliveries.
  • Assist with receipt and distribution of student materials, including homework requests.
  • Maintain visitor log and issue visitor passes.
  • Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc.
  • Maintain computerized files using personal computer, including reports, employee roster, and mailing lists.

Professional Growth and Development

The office assistant provides leadership in professional growth and development through activities such as the following: 

  • Participate in staff development training programs, faculty meetings, and special events as assigned. 

Qualities of Effective Office Assistants

The office assistant assistant exhibits qualities such as the following: 

  • Daily attendance and punctuality at work are essential functions of the job.
  • Maintain confidentiality of information.
  • Correct unsafe conditions in work area and report any conditions that are not correctable to supervisor immediately.
  • Comply with District and Campus policies and procedures, as well as state and federal laws and regulations.
  • Comply with the standards of conduct set out in Board Policy DH (Legal) and (Local) and with any other policies, regulations, and guidelines that impose duties, requirements, or standards. 

Supervisory Responsibilities:

  • None 

Equipment:

Multi-line phone system, personal computer, printer, copier, calculator, telephone, fax machine, shredder, and other equipment applicable to the position.

 

Working Conditions:

Mental Demands/Physical Demands/Environmental Factors: 

  • Work irregular and extended work hours to include holidays and weekends.
  • Work with frequent interruptions and maintain emotional control under stress.
  • Continual sitting.
  • Requires repetitive hand motions.
  • May require moderate standing, stooping, bending, and lifting.
  • Frequent exposure to: temperature extremes (hot and cold), humidity extremes, noise, low or intense illumination vibration.
  • Occasional exposure to: biological hazards (communicable diseases, bacteria, etc.), work outside, work around moving objects or vehicles, work on uneven surfaces.
