Description

Primary Purpose:

Responsible for maintaining school records at the campus level.  Process student enrollment, transfers, and withdraws for the campus.

 

Minimum Qualifications:

Education/Certification              

High school diploma or GED equivalent (recognized by the Texas Education Agency or a regional accrediting agency)

Candidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50) paid by employee.

 

Required Experience:

Three (3) years' clerical experience

 

Knowledge/Skills:

Ability to maintain accurate and auditable records

Ability to use personal computer and software to develop or maintain spreadsheets and databases, and do word processing

Proficient typing, keyboarding, and file maintenance skills

Strong organizational, communication, and interpersonal skills

Basic math skills

Organization Improvement

The registrar promotes efforts to improve the school or organization through activities such as the following:  

  • Assist Child Find Coordinator with enrollment, withdraws, and transfer of students and process applicable records.
  • Assist campus administration and counselors with the preparation of reports and student data information.  

Organization Management

The registrar manages administrative, fiscal, and facilities functions responsibly through activities such as the following: 

  • Enroll children for childcare services and maintain physical and computerized records including student cumulative folders, progress and failure reports, class roster, and schedule changes.
  • Process new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases.
  • Coordinate grading process, including processing of scan sheets, verification and correction of grades, and printing and distribution of report cards. 
  • Process and transmit requests for student information, including student transcripts.
  • Prepare and distribute University Scholastic League (UIL) eligibility lists.
  • Calculate grade point averages, class rank, and prepare honor rolls.
  • Prepare weekly membership report, attend meetings and workshops, and do research on students for PEIMS office.
  • Enter data on summer school students and notify any out of district student’s home campus of grades or credits received.
  • Prepare and distribute student identification cards, bus passes, etc.

The registrar participates in professional growth and development through activities such as the following:  

  • Participate in staff development training programs, faculty meetings, and special events as assigned. 

Qualities of an Effective Registrar

The registrar exhibits qualities such as the following: 

  • Daily attendance and punctuality at work are essential functions of the job.
  • Correct unsafe conditions in work area and report any conditions that are not correctable to supervisor immediately.
  • Comply with District and campus policies and procedures, as well as state and federal laws and regulations.
  • Comply with the standards of conduct set out in Board Policy DH (Legal) and (Local) and with any other policies, regulations, and guidelines that impose duties, requirements, or standards. 
  • Maintain confidentiality of information.

Supervisory Responsibilities

  • None  

Equipment:

Computer, printer, scanner, copier, calculator, telephone, fax machine, and shredder and other equipment applicable to the position.  

 

Working Conditions:

Mental Demands/Physical Demands/Environmental Factors

  • Work irregular and extended work hours to include holidays and weekends.
  • Work with frequent interruptions and maintain emotional control under stress.
  • Requires repetitive hand motions.
  • May require prolonged use of computer, moderate standing, stooping, bending, and lifting.
