Description

Primary Purpose:

Direct and manage the custodial operations of the DVISD facilities. Maintain physical school plant in excellent operating conditions so that full educational use may be made at all times.  Provide a physical environment that is functional, safe, clean and attractive. Provide training and support to head custodial staff. Manage and respond to district level events through proactive efforts to meet the vision and goals of the district.

 

Minimum Qualifications

     Education/Certification               

     Bachelor’s degree in custodial management, administration or other relevant field or eight (8) years’ related experience

     Valid Texas driver's license with a good driving record (must meet and maintain liability coverage eligibility)

     Candidate must have satisfactory outcome of fingerprinting background check. Non-refundable fee

           (approximately $50) paid by employee.       

 

 

     Knowledge/Skills

     Knowledge of basic principles of school plant maintenance

     Ability to conduct on-site inspection of district facilities

     Effective budget and personnel management skills

     Ability to implement policy and procedures in accordance with district, state and federal regulations 

     Ability to interpret data, generate and publish summaries related to district operations

     Knowledge of routine custodial practices and methods

     Knowledge of equipment, chemicals, and materials used in cleaning processes

     Knowledge of minor repair techniques as well as building and grounds maintenance

     Effective planning and organizational skills

     Strong organizational, communication, and interpersonal skills

     Bilingual preferred 

 

    Experience:

    Three (3) years’ of experience in one or more of the following: custodial operations, or other related field

    Managing multiple work teams and projects

    History of developing cleaning schedules and procedures to maintain a high standard of safety, cleanliness,

          and efficiency of building operations

    Supervisory experience preferred

Custodial Management

The coordinator manages custodial activities such as the following:

  • Work cooperatively with principals and facilities managers to ensure a high standard of safety, cleanliness, and
  • efficiency of building operations.
  • Establish and oversee work schedules and procedures for the regular custodial care of all district facilities and
  • special custodial projects.
  • Make work assignments and arrange for substitute custodians as needed.
  • Inspect all district buildings and facilities and schedule cleaning and repairs as needed.
  • Provide training and orientation to all custodians related to cleaning procedures and the safe and proper use of chemicals and equipment.
  • Coordinate the moving and delivery of district furniture, equipment, and other heavy or bulky materials.
  • Direct the set-up of facilities for special events.

 

 

Budget and Inventory

 The coordinator manages the budget and inventory through activities such as the following:

  • Assist in the preparation of department budget.
  • Develop and administer budget based on documented needs and ensure that operations are cost effective and funds are managed wisely.
  • Plan and direct inventory and stock control program for equipment and supplies.
  • Recommend disposal of obsolete equipment and purchase replacement equipment when necessary.
  • Initiate purchase orders and bids in accordance with budgetary limitations and district policies.
  • Select, train, supervise and evaluate staff and make recommendations relative to assignment retention, discipline, and dismissal.
  • Prepare, review and revise custodial job descriptions
  • Compile and maintain, and file all reports, records and other documents as required including maintaining accurate information for payroll reporting (time cards, tardiness, and absenteeism).
  • Approve and forward invoices and purchase orders for maintenance department to accounting department.

 

Building Maintenance

The coordinator manages administrative, fiscal, and facilities functions responsibly through activities such as the following:

 Ensure that district facilities are functional, safe, clean and well maintained.

  • Develop and maintain written departmental procedures for maintenance, repair, and operations of all district buildings and equipment. Ensure that work orders are processed and executed in a timely manner.

 

Inventory and Equipment

The coordinator promotes safety through activities such as the following:

  • Prepare, implement, and maintain preventive maintenance schedules for custodial equipment.
  • Ensure that maintenance is completed and equipment is in safe operating condition.
  • Recommend replacement of existing equipment when necessary.
  • Conduct regular inventory of physical equipment and supplies and maintain accurate records. Order tools,                equipment, and supplies as needed.
  • Evaluate and complete repairs of equipment or contract repair services for custodial equipment.

 

Policy, Reports, and Law

The coordinator manages administrative, fiscal, and facilities functions responsibly through activities such as the following: 

  • Ensure compliance with federal and state law, State Board of Education rule, and local board policy.
  • Compile, maintain, and file all reports, records, and other documents required including timekeeping records.
  • Develop and update custodial services handbook, action process, onboard training manual, and other documents required to support accurate records of custodial services.

  

Safety

The coordinator promotes safety through activities such as the following:

  • Maintain safety standards in accordance with federal, state, district, and insurance regulations and train custodians on proper and safe use of equipment and chemicals.
  • Ensure that established safety procedures are followed including lifting and climbing. Make sure that tools and equipment are operated and chemicals handled according to established safety procedures.
  • Correct unsafe conditions in work area and promptly report any conditions that are not immediately correctable to supervisor.
  • Follow established procedures for locking, checking, and safeguarding facilities.
  • Participate in development of the district’s disaster plan and be prepared to take an active role in responding to emergencies as needed.

 

 

Professional Growth and Development

The coordinator provides leadership in professional growth and development through activities such as the following:

  • Direct training and ongoing professional development of workers to improve work performance and acquaint workers with district policies and procedures as well as state and federal laws and regulations.
  • Participate in national and state level organizations to stay abreast of latest research and best practices.
  • Participate in all meetings and professional development opportunities to keep abreast of innovative techniques in

     maintenance operations.

 

Qualities of an Effective Coordinator

The coordinator exhibits qualities such as the following:

 

  • Daily attendance and punctuality at work are essential functions of the job.
  • Shall comply with District policies, as well as state and federal laws and regulations.
  • Shall comply with the standards of conduct set out in Board Policy DH (Legal) and (Local) and with any other policies, regulations, and guidelines that impose duties, requirements, or standards.
  • Demonstrates a high level of personal integrity, a collaborative leadership style and high ethical standards.
  • Keeps informed of and comply with state, district and campus policies affecting schools.
  • Maintain confidentiality.
  • Provides training, orientation, and documentation to all custodians in cleaning procedures and proper use of chemicals and equipment.

  • Accepts responsibility for the efficient operation of the department/area.
  • Perform other duties as assigned by the administration.

Supervisory Responsibilities

  • Supervise, evaluate and recommend employment status for all custodial staff and all assigned department staff.

Equipment

Buffers, scrubbers, wet and dry vacuum cleaner, ladders, lifts, electric drill and hand tools, shampooer, mop, broom computer, telephone, fire extinguisher, two way radio, and other equipment applicable to the position.

 

Working Conditions

Mental Demands/Physical Demands/Environmental Factors:

 

  • Maintain emotional control under stress and work with frequent interruptions.
  • Repetitive hand motions, prolonged sitting, and prolonged use of computer.
  • Work irregular and extended work hours to include holidays and weekends.
  • May require moderate standing, stooping, bending, lifting, walking, climbing, pulling, pushing, reaching, moving, and carrying up to 50 lbs.
  • Work indoors and outdoors to conduct on-site inspections of all district facilities and construction projects. 
  • Frequent district wide and occasional statewide travel. 
  • Frequent exposure to: temperature extremes (hot and cold), humidity extremes, noise, low or intense illumination vibration. Occasional exposure to: biological hazards (communicable diseases, bacteria, insects, mold, fungi, etc.), work outside, work around moving objects or vehicles, work on slippery and uneven surfaces.
